Delete file in SharePoint if Link is expired

Hi,

How can i create a flow that deletes a file if the sharing link of the file is expired or if it doesn´t have an active sharing link.

Are there any suggestions on how to do this?

Thanks!

Hi @actuallyba,

You can use the GetSharingInformation method to retrieve the sharing links information. Paul Matthews has written a nice blog about this method:

https://cann0nf0dder.wordpress.com/2018/04/04/externally-sharing-getsharinginformation-rest-api/

Below is an example of this method for a single file.

1. URI POST request

_api/web/Lists(@a1)/GetItemById(@a2)/GetSharingInformation?@a1='@{actions('Get_file_properties')['inputs']['parameters']['table']}'&@a2='@{outputs('Get_file_properties')?['body/ID']}'&$Expand=pickerSettings,permissionsInformation,sharingLinkTemplates

2. Filter Array which checks if the item has any sharelinks which are still valid/haven't expired

From

outputs('Send_an_HTTP_request_to_SharePoint')?['body']['d']['permissionsInformation']['links']['results']

Where

@greater(item()['linkdetails']['Expiration'], utcNow())

3. Condition which checks how many items are returned in the Filter Array

length(body('Filter_Array'))

is greater than 0

Is it possible to adjust hte flow, so that it checks every folder on the sharepoint and deletes every folder which hasn´t an active sharing link?

Hi @actuallyba,

Yes, that should be possible.

You can replace the Get file properties action by a Get files (properties only) action. And make sure you place the other actions in an apply to each loop which loops through the value property of that new action.

Ok thank you. It seems to work with files. But I need to delete the folder. Usually I share a folder which contains multiple files and so only the folder has a sharing link.

The result now was that the file of an folder with an active sharing link was also deleted, because the file itself didn´t have a sharing link.

Is it possible to delete on folder level?

Best regards

Hi @actuallyba,

So, you want to delete folders instead of files?

For the retrieval of folders you can add a filter query to your Get files (properties only) action.

Try the filter the filter below to only retrieve folders

FSObjType eq 1

Yes, I want to delete folders instead of files. I implemented the filter and now it throws an error in the delete file block: "NotFound" or "NotSpecified". What do I have to put in as identifier in the delete file Block.

Currently I have the ID from the Get File Properties Block.

I managed to delete the folders now using the get folder meta option.

Is there a possibility to adjust the query filter, so that it only selects folder which contain a specific string?
