Power Automate Invoice AI stuck analyzing additional a

I am trying to build an automated flow that receives mail, analyzes the attachments for an invoice (pdf) and creates a folder, renames the folder based off invoice data then puts all the email attachments into the folder.

 

I got it to work where, if there was ONE invoice and no additional attachments. However, if there are "field tickets" or any of types of attachments in addition to the Invoice. The process would get stuck as the AI is trying to find the Invoice information inside an attachment that doesn't have any invoice data.

 

I am currently trying to use a "Recognize text in an image or a PDF document" along with another condition to check to see if the file contains the text "invoice" so that the "extract information from invoice" AI only runs on Invoices so it doesnt get stuck.

 

However when I run it, it gets broken and gives me these error:

I think you are on the right track with filters.  Currently you are filtering to only show attachments whose name contain "pdf." However, if the other attachments are also pdf files, then you need to add more filters. Is there anything else distinctive about the filenames of the other attachments that could be used to filter them out before the AI Builder step?

I don't think there is anything else distinctive in the file name that would separate Invoices from the other non-invoice pdf's. That's why I was hoping to use the PDF scanner to identity if the document has the text "invoice" in it; but it wasn't working. 

 

The vendors send their files (invoices and otherwise) with random names

Hi @markElite - good suggestions from @Runner55552. Looking at the screenshots I believe what is causing the error is that there's to inputs on the Recognize text in an image or a PDF document. There should only by one like in the screenshot below:

Thank you Joe, that did solve it from not running. However, now its returning all the conditions of the 2nd condition as False when I know that the PDF does include text that says Invoice. See below, is there something I need to do do tweak the recognize Text in image for the condition to pick up the text "invoice".

Good to hear that we're making progress on the right direction. 🙂 

 

What we can do next is to search for the word invoice within the predictionOutput result from the AI Builder action. Since invoice might come with some letters in uppercase, we should first put everything in lowercase to then see if it contains the word invoice.  

 

You will first need to transform predictionOutput to text, and then put everything in lowercase using expressions. Here is an animation that shows how to do this:

I thought for sure that would be the fix; but unfortunately, it is returning this error at the Condition2 level where we just changed.

 

InvalidTemplate. Unable to process template language expressions for action 'Condition_2' at line '0' and column '0': 'The template function 'toLowerSpring' is not defined or not valid.'.

I did switch the condition just like your GIF showed.

Hi @markElite - expressions can be challenging. 🙂 

 

The expression should look something like this:

 

toLower(string(outputs('Recognize_text_in_an_image_or_a_PDF_document')?['body/responsev2/predictionOutput']))

 

From the error message it seems the expression typed was toLowerSpring(...? Instead of toLower(string(....

 

A benefit of using the predictionOutput result is that you don't need to put the action under an Apply to each 2 result loop. You can move all the actions outside Apply to each 2, and then remove that loop.

Ah your right, I did miss the ().

 

Okay so I fixed that and moved it outside the "Apply to Each" but now its giving me this error? It is odd that it is occurring before the condition now. I didn't change anything regarding the "recognize Text in an image or a PDF document" function.

Hi @markElite - sometimes moving actions outside loops might cause name changes that result in this error. Would it be possible for you to start a new flow using the expressions and steps we discussed before? Starting from a brand new flow might be the easiest way to get it fixed. 

I created an entirely different Flow and set it up how you have it up top, I was able to get it to successfully run if I had the action be "send me an email if invoice if the attachment contains invoice. But when I changed it to what is planned then it stops at an earlier point. Not really sure why.

Hi @markElite - thanks for letting me know. Indeed, I see on the screenshot that the flow failed but I cannot see which action. Does the flow show you which action failed? If you click on the action that failed, do you get any additional details on the error?

 

Okay so I'm not sure what the error is because it seems to get a different error every time. Occasionally it half/works, it runs and identifies the correct invoice and creates a folder based off the information in the invoice. Only problem is that it only puts the invoice in the folder none of the other attachments on the email. My first version would put all the attachments in but since we made a few changes it does not do that anymore.

 

Other times it will run and even though there is an invoice it will fail and give me a different error message.

 

On this occasion it appears to be stuck at the folder creation:

Thanks for sharing @markElite - the error seems to indicate that the folder name you are trying to create is not valid. Maybe there is a character in the folder name that is not valid to use as a folder name?

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024.
