Can I have multiple PowerApp Forms driving a single SharePoint list? If not, can I use a hide/unhide tab structure?

Hi there,

 

I have 3 functional areas, IT, HR and Finance, all feeding information into the same SharePoint list. We have some standard fields that relate to all areas but we have some questions which are fed into the same fields but the actual questions are different. This means we need a different PowerApp form for each functional area.

 

Can I create multiple PowerApps from the same SharePoint list (seems like you can't)? If not, would it be best to use a single SharePoint list with tabs? If I can use a tab structure can I send out different URLs for the PowerApp that set certain tabs to be visible/hidden so only that 1 functional area tab is visible at any one time?

Do you want to split your SP List fields into multiple separated Edit forms (each one for one individual functional area)?

Do you want to submit these multiple form data into single one record in your SP List rather than separated rows?

 

Based on the needs that you mentioned, I think PowerApps could achieve your needs. You could create one Edit form within each individual screen, then connect these three Edit forms to same SP List data source.

After that, within each Edit form, enable related/corresponding fields for corresponding functional area. Add "Next" buttons between these three screens. Within the Last Edit form screen, add a "Submit" button, set the OnSelect property to following:

Patch(
      'Your SP List',
      Defaults('Your SP List'),
      Form1.Updates,
      Form2.Updates,
      Form3.Updates
)

Can you please give an example of a question that is different based upon which department the user belongs to?  I think I have a good idea about how to accomplish this but I need an example to work with.

 

My preferred method would be to obtain the user's department using the Office365Users connector and show a different question based on that.  We can use an IF statement to change the text of each question conditional on the department.

In order to pass parameters into your PowerApp from the URL, check out this information on Deep Linking.

Alternative to the tabs, you might consider using booleans to determine which DataCards are visible on the form in order to prevent needing multiple edit forms.

I really like this idea. Hadn't thought of picking up the user's department from O365. However, my app is a change request tool. Users from any area can raise a request against any functional area so unfortunately it is not a clean 1..1 relationship so whilst very clever, this solution won't work for my app.

 

Thanks for the pointer though as I could definitely see this being useful for other areas.

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Ahmed has been one of our most active Super Users this year--in fact, he kicked off the year in our Community with this great video reminder of why being a Super User has been so important to him!   Ahmed is the Senior Power Platform Architect at Saint Jude's Children's Research Hospital in Memphis. He's been a Super User for two seasons and is also a Microsoft MVP! He's celebrating his 3rd year being active in the Community--and he's received more than 500 kudos while authoring nearly 300 solutions.
