List not updating all fields when using SubmitForm

I have created a form that is to be used for updating user information. There are 6 data cards. I allow 5 of them to be updated through this form.

What is supposed to happen:

  • A user is selected from the Gallery on the left
  • All the data cards are filled in with that user's info
  • you can then change the last 5 data cards: Department, Position, Office, Work Systems, Other Work Systems

Then there is a display field setup below so that you can see the current values and the new values before submitting.

When you click the Submit button: It has the following code: SubmitForm(UpdateUserForm) ; Reset(ChooseUser) ; "email stuff"

The reset works fine, the email works fine, but the submit doesn't. The Position doesn't get updated.

I think it is because I have code on the submit button that filters the available positions based on the selection of the department:

The Items of the Position data card:

ForAll(Filter(Positions, Department.Value = DataCardValueDept.Selected.Value),{Value: '{Name}', '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedReference"})

Mike_in_IT_0-1657836307818.png

The Submit Button code:

Mike_in_IT_1-1657836357140.png

Am I doing something wrong here? Is there another way to get the Position data card to filter based on the department data card? Or is there something that I need to do with the submit button to get it to update?

The name of the field I am trying to pull in there is "Position", but that isn't being recognized. I don't have any columns in any of my lists with a name of "name". Like you said that is a bad way to name the column.

I have tried to edit the card in the right menu to have Position as the display field, it won't allow me to. I set it and then run and it isn't set any longer.

HI @Mike_in_IT ,

Go to your List Settings in SharePoint, select Position and look at the end of the URL at the bottom to see the actual field name (SharePoint remembers what it was called when first created and you have to use this in many circumstances in Power Apps) - I strongly suspect it is name. (which is a Reserved Word in Power Apps and may be the root cause of all of this).

Please click Accept as solution if my post helped you solve your issue. This will help others find it more readily. It also closes the item. If the content was useful in other ways, please consider giving it Thumbs Up.

Hi @WarrenBelz ,

This has me very confused. Here is a screenshot of the List:

Mike_in_IT_0-1658325163791.png

Just the top anyway. There is not a column with the name of "Name". I open the List setting as you mentioned:

Mike_in_IT_1-1658325251930.png

And in there, there is no column named either "Name" or "Position". I'm pretty sure that "Title" is the column that I've named "Position":

Mike_in_IT_2-1658325823925.png

And as you can see in the address bar the field name agrees with the column name:

Mike_in_IT_3-1658325933982.png

I did check the other two columns that I created, Dept and Office, and I see that you are correct in your assessment. For Dept the field name is "Department" because that is what I originally called it. That however doesn't seem to be a problem for PowerApps as it does use the name "Dept" when referencing that field in the app.

Just to check and make sure I'm looking at the correct information I also checked the same things on my list called "Users". There the column "Position" is called "Position" in the address bar as well as in the List settings.

So, I don't know where the column "Name" is coming from. And I don't know where or how "Position" is found by PowerApps since it doesn't appear to be anywhere in my list except for the view.

If I was to create a new List, call it Position_2, and recreate everything, except make the Dept and Office fields choices instead of lookups. Would that make this easier? If I do this what would I need to change in the PowerApp other than the name of the List I'm looking at?

Hi @Mike_in_IT ,

It has to be the Office field - there is nothing else left - can you please find the "real" name of that.

@WarrenBelz

I did check that field as well. It is named "Office" in the address as well as in the List Settings screen.

Like I said this has me very confused as to where that "Name" name is coming from.

I have created a new List (Positions_2) and made 3 columns: "Position", "Dept", and "Office"

I left the "Title" column alone and just put the position in there as well. So that the "Title" and "Position" columns are the same.

I also made the "Dept" and "Office" columns Choice columns instead of Lookup columns, in the hope this would make it work better.

I then updated my App to use the new List. I reverted my changes to the DataCardValuePosition:Items to my previous code for it:

ForAll(
    Filter(
        Positions_2,
        Dept.Value = DataCardValueDept.Selected.Value
    ),
    {
        Value: '{Name}',
        '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedReference"
    }
)

This allowed me to see the position name and did filter the list to just those for the department selected in the DataCardValueDept. But it still doesn't update the User List with the new Position that is selected.

I then changed back to the code that you provided, updated to use the new List:

Filter(
    AddColumns(
        Positions_2,
        "Positions",
        Position
    ),
    Dept.Value = DataCardValueDept.Selected.Value
).Positions

The Update on the Position_DataCard still is:

{
    Value: DataCardValuePosition.Selected.Positions,
    Id: LookUp(
        Positions,
        Dept.Id = DataCardValueDept.Selected.Id
    ).ID
}

Of course, I updated the Form and the label I have below that shows what is selected to use the appropriate values too:

Running the App then the drop-down selecting a new position is blank lines. It's the correct number of blank lines, but they are still blank:

Mike_in_IT_0-1658414405829.png

When I select a blank line the label below does show the correct Position. When checking the DataCardValuePosition>Properties(right-hand menu)>Fields:Edit. It shows that the "Primary text" is "Positions" and there are no other options when I select the drop-down.

The email that is sent shows the correct info:

Mike_in_IT_1-1658414782661.png

But the update to the User List still isn't correct.

Mike_in_IT_2-1658414825695.png

It selected one from the list of positions seemingly at random and updated to that, instead of the one that I had selected. I've tried a couple of times to see if there is a pattern. The only pattern that I can find is that it keeps trying to make him management 😀. Every time it selects Warehouse Supervisor from the Operations department or Maintenance Manager from the Maintenance department. For the list of the Maintenance department positions Maintenance Manager is the first in the list, but for the Operations department, Warehouse Supervisor is 3rd from the bottom.

Hi @Mike_in_IT ,

You can have a go at that, but I am getting more confused the further this goes.
