Lookup Not Working

I have a sharepoint list called onboarding with columns newhirename (Title), task1, task2, task3, task4.  The task columns are all yes/no columns for completed or not.

I have another list called assignedtasks with 3 single line text columns newhirename (Title), task, assignedto.  I pull this list into a collection called colAssignedTasks.

In my app I have an edit form that is connected to the onboarding list that shows the newhirename and all the tasks as cards with a yes/no toggle.  The datacardkey is the task name.  I populate the edit form by selecting a newhire in a gallery.  I want to only show the tasks that are assigend to the current logged in user.

If(LookUp(colAssignedTasks, Title=newhirename.Text && Task=datacardkey.Text).AssignedTo=varCurrentUser,true,false)

I have tried many variations of the above formula and it doesnt work.  I have also tired to just return the AssignedTo in a label using LookUp(colAssignedTasks, Title=newhirename.Text && Task=datacardkey.Text, AssignedTo) but it doesnt return anything.

How can I hide the datacards that are not assigned to the current user?  the Lookup doesnt seem to like using the datacardkey.text as a parameter.

Any suggestions?

Hi @sscarcella ,

Have you renamed the Title column into "NewHire" in your "Task Assignments" list?

Based on the needs that you mentioned, I think the LookUp function is enough for your scenario. Please consider set the Visible property of the Data Card in your Edit form to following:

If(
   IsBlank(LookUp('Task Assignments', Task = DataCardKey.Text && NewHire = Dropdown1.SelectedText.EmployeeName && AssignedTo = varCurrentUser)),
   false,
   true
)

or

If(
   IsEmpty(Filter('Task Assignments', Task = DataCardKey.Text && NewHire = Dropdown1.SelectedText.EmployeeName && AssignedTo = varCurrentUser)),
   false,
   true
)

Please replace the DataCardKey with actual Label name (DataCardKey1, DataCardValue2, ....) within your Edit form.

hI! @sscarcella

usually the datacardkey.Text gets the label on top of the form you should use datacardvalue.Text/datacardvalue.value..

If(LookUp(colAssignedTasks, Title=newhirename.Text && Task=datacardvalue.Text).AssignedTo=varCurrentUser,true,false)

or for readability

LookUp(colAssignedTasks, And(Title=newhirename.Text, Task=datacardvalue.Text)).AssignedTo=varCurrentUser

I am looking to update the onboarding list with the column task that is named the same as the datacardkey with the datacard value of yes or no, but I want to hide the tasks that are not assigned to the current user.  I have like 75 tasks and dont want them to have to scroll through them all.  I want to only show the cards that are assigned to the current user so I need a way to look up the task name and get the assigned to name and set the visible to true or false.  Its a simple LookUp but doesnt appear to work with the cardkey.text which is the name of the task...  Ill attach a photo

I created 2 simple collections to mirror your use case.

ClearCollect(
    colAssignedTasks,
    {
        newhirename: "A",
        task: "Task1",
        assignedto: "Hardit Bhatia"
    },
    {
        newhirename: "A",
        task: "Task2",
        assignedto: "Hardit Bhatia"
    },
    {
        newhirename: "A",
        task: "Task3",
        assignedto: "Haman Bhatia"
    }
);
ClearCollect(
    onboardingList,
    {
        newhirename: "A",
        task1: true,
        task2: true,
        task3: false
    },
    {
        newhirename: "B",
        task1: true,
        task2: true,
        task3: false
    }
)

I then created a form with onboardingList as my datasource and I set the Items property to (which is similar to you using a gallery):

LookUp(onboardingList, newhirename="A")

For each of my datacard, I set the visible property based on the task it was representing. For Task3's datacard, I set the visible property to:

If(LookUp(colAssignedTasks, newhirename = Label81.Text && task = Label89.Text).assignedto = "Hardit Bhatia", true, false)

This works perfectly fine. Can you please let me know the different in your example and mine?

Hi @sscarcella ,

Could you please share a bit more about the "assignedto" column in your second SP List? Is it a Text type column?

Do you want to hide the related Task data card within the Edit form based on current login user?

Based on the formula that you mentioned, I think there is something wrong with it. I have made a test on my side, please consider take a try with the following workaround:

Within the Edit form, set the Visible property of the Task1 data card in your Edit form to following:

If(
   "Task1" in Filter(colAssignedTasks, AssignedTo = varCurrentUser).Task,
    true,
    false
)

set the Visible property of the Task2 data card in your Edit form to following:

If(
   "Task2" in Filter(colAssignedTasks, AssignedTo = varCurrentUser).Task,
    true,
    false
)

set the Visible property of the Task3 data card in your Edit form to following:

If(
   "Task3" in Filter(colAssignedTasks, AssignedTo = varCurrentUser).Task,
    true,
    false
)

set the Visible property of the Task4 data card in your Edit form to following:

If(
   "Task4" in Filter(colAssignedTasks, AssignedTo = varCurrentUser).Task,
    true,
    false
)

Note: I assume that the "assignedto" column is a Text type column in your second List. Please replace the "Task1", "Task2", "Task3", "Task4" with actual Task column names from your first list.

Please take a try with above solution, then check if the issue is solved.

I have it setup like this and it still doesnt work, it hides the cards even if that task is assigned to me.  No matter if I hard code the task or use a label or a variable it always returns false and hides the card.  I started a new app from scratch and same result.  Attachment1  You can see in the assigned task list the first item for Jane Doe is "Name plate for workspace" and is assigned to me but the lookup is hiding the card.  If I change the form to John Doe the card is hidden as well.  Attachment2.  Even if I take out the cardkey name and hard code it with "Name plate for workspace" the lookup still doesnt work.

Thanks for your help...

@v-xida-msft
I get the same results with your formula on the visible whether I use the cardkey name or the "Name plate for workspace" in quotes ..  see attached
Its as if it wont evaluate the task column at all...  I cant even get it to just do the simple lookup of task and newhire to get assignedto

@v-xida-msft @PowerAddict
Fyi in the screenshots I have attached I have only attempted the visible formula with the first task card which is "Name plate for workspace" , all the other data cards visible is set to true.  but no matter what I do the card is always hidden...  And yes, all the columns are single line of text...

Also I have tried setting a label to:
"Name plate for workspace" in Filter(colTaskAssignments, Title=ddName.SelectedText.EmployeeName && AssignedTo=varCurrentUser).Task
for both John Doe and Jane Doe and they both return false when clearly the task "Name plate for workspace" is in the list assigned to me for Jane Doe.

What happens when you just do the following in a label?

LookUp(colAssignedTasks, newhirename = Label81.Text && task = Label89.Text).assignedto

Let me know the result.
