Missing media content from lists

Hi

I created a simple canvas app based on a List of 40ish tutorial videos and I'm getting an issue where the videos and Video metadata (length/Thumbnails...) don't load after some time has passed. I don't know the exact cause, but it seems to be a session issue or pre-load issue. 

The users have full access and permissions to the SP and List and on initial setup they all were able to view the tutorial videos in the gallery and view form.

However after 1-2 weeks they've all comeback to me at various stages with the gallery and form not loading the Video and Metadata (Other columns load fine).

The current resolution is remoting into their devices, navigating to SP and the List then going back to the app and refreshing. This SP session or cache of the list resolves the issue and the videos can then be seen in the app.

Does anyone know how to resolve this issue? Thanks.

Try these see if it helps.
First to be safe, use Save As and give a different name so that you leave the original app untouched just in case, especially if it being used now in a production scenario.
Check if this alone happens to solve the problem. Even if it does, check the below to see if you can really resolve it:

Next, Try this:

1. Refresh Data Connection: Implement a manual refresh button in your app that users can press to refresh the data connection. You can do this using the Refresh(<DataSource>) function on the OnSelect property of a button.

Refresh('YourSPListName')

2. If #1 above worked well, you can try to implement this as an automatic Refresh on App Start: Make your app automatically refresh its data connection when it starts or when the user navigates to the gallery screen. Use the OnStart property of the app or the OnVisible property of the appropriate screen, whichever you prefer.

3. If the above did not work, try removing and recreating the connection to the SP List,

then also trying #1 and #2 above after that.

Step 1: Remove the Existing SharePoint List Connection

1. Open your app in Power Apps Studio.

2. Go to the Data tab on the left side panel.

3. Find the SharePoint connection that links to the list you're having trouble with. You should see your SharePoint list under "Data sources."

4. Hover over the data source and click on the ellipsis (…) menu, then select Remove. Confirm the removal if prompted.

   • Note: Before removing, see if you have noted down any specific list names or other important details you will need to reconnect. To be safe as well, make sure to do this on Saved copy using Save As, not the actual production app.

Step 2: Clear Unused Connections (Optional)

1. Still in the Power Apps Studio, go to the View menu and select Data sources.
2. If you see any connections that are no longer needed, you can remove them by following the same steps as above. This can help reduce clutter in your app and potential conflicts.

Step 3: Add the SharePoint List Connection Again

1. In the Power Apps Studio, go to the Data tab again.

2. Click on Add data to add a new data source.

3. Select SharePoint from the list of available connections. You may need to provide your SharePoint site URL.

4. Once your connection to SharePoint is established, navigate through your site and select the list you want to connect to. Then click Connect.

   • Select the correct list that contains your tutorial videos and metadata.

Step 4: Update Your App with the New Connection (if needed)

1. After you have reconnected to your SharePoint list, you may have to update any formulas, galleries, or forms in your app with the new name, if the name has come in differently (e.g. if the name of the List is not the same, for example).
2. If you do need to, replace the previous data source references with the new connection name in all relevant formulas. This might involve updating items properties in galleries, data sources in forms, and any other controls that used the SharePoint list.

Step 5: Test Your App

1. Once you've updated the data source references, then test your app thoroughly to ensure that everything works as expected. Pay special attention to the parts of the app that display videos and metadata from the SharePoint list.
2. Verify that the issue with loading videos and metadata has been resolved, including after saving and publishing the app - preferably on a separate copy of the app first again to be sure.

To make sure the connection is really removed rather than simply being reused, you may have to do this instead first:
1. Go to make.powerapps.com
2. On the left side click More, then click Connections

3. Look for the SharePoint connection, click the ellipses, and click Delete.
4. Then in the app in Power Apps Studio, you may try and follow the steps I gave in the post to remove and re-add the data source, which should create a new connection now.
