Preset body of email to pull information with data in specific order

Hi,

I have been trying to pull information different ways and i am still getting stuck.

i have a set of data in a gallery that when i send the email i want the information to pull the data in a specific order.

i have created a collection with the following code below which is run on start of the app

ClearCollect(
LocationSort,
{
Order: "a",
Title: "BNE Central"
},
{
Order: "b",
Title: "BNE Downtown"
},
{
Order: "c",
Title: "GRT Springfield"
},
{
Order: "d",
Title: "GC Central"
},
{
Order: "e",
Title: "GC North"
},
{
Order: "f",
Title: "SC North"
},
{
Order: "g",
Title: "SC South"
},
{
Order: "h",
Title: "DRW Malak / Palmerston"
}
);
ClearCollect(
CampusSort,
GroupBy(
LocationSort,
"Order",
"Title"
)
)

Then on the email button i have the following code:

Sort(
LocationSort,
"Order"
);
Office365Outlook.SendEmailV2(
User().Email,
"State Lead Service Report for" & " " & DDServiceBlock.Selected.Result & " " & DdDate.Selected.Result,
Concat(
Gallery3.AllItems,
"<p><br><b>" & GLCampus.Text & "-" & BsubmitBy.Text & "</b><br>" & "</b><br>" & GFinalRepor_1.Text & "</p>" & "</b><br>"
)
);
Notify("Email Sent")

However the information still doesnt want to pull the data based on the order specified onstart.

Any help would be appreciated. I even thought of hardcoding the body of the email but unsure how to do that.

@AliDg2 ,

There is a piece missing here - your gallery is based on the table 'TestingAPP-WeekendServiceReportList' - is there a Campus field in this that is displayed in the Text Box GLCampus and you are trying to sort it in the order of the collection you have made with the field in the Title?

@AliDg2 ,

I am going to guess here what I assumed is correct - firstly stick with your Collection

ClearCollect(
    LocationSort,
    {
        Order: "a",
        Title: "BNE Central"
    },
    {
        Order: "b",
        Title: "BNE Downtown"
    },
    {
        Order: "c",
        Title: "GRT Springfield"
    },
    {
        Order: "d",
        Title: "GC Central"
    },
    {
        Order: "e",
        Title: "GC North"
    },
    {
        Order: "f",
        Title: "SC North"
    },
    {
        Order: "g",
        Title: "SC South"
    },
    {
        Order: "h",
        Title: "DRW Malak / Palmerston"
    }
)

The Items of your Gallery (assuming here the field name in your List is Campus)

Filter(
   AddColumns(
      'TestingAPP-WeekendServiceReportList',
      "Order",
      Lookup(
         LocationSort,
         Title=Campus
      ).Order
   ),
   (
      DdDate.Selected.Result = "All" ||
      ServiceDate = DdDate.Selected.Result
   ) &&
   (
      DDServiceBlock.Selected.Result = "All",
      ServiceBlockAmPM.Value = DDServiceBlock.Selected.Result
   )
)

then the email

Office365Outlook.SendEmailV2(
   User().Email,
   "State Lead Service Report for" & " " &
   DDServiceBlock.Selected.Result & " " & ddDate.Selected.Result,
   Concat(
      Sort(
         Gallery3.AllItems,
         Order
      ),
      "<p><br><b>" & Campus & "-" & BsubmitBy.Text &
      "</b><br><br>" & GFinalRepor_1.Text & "</p>" & "</b><br>"
    )
);

for the items in gallery when you refer to the campus in the list is that the sharepoint list? if so the name of that field is Title. so i have fixed that.

I am coming up with a few errors

the email portion still has an error not recognising the value

AliDg2_0-1618461402140.png

I have checkboxes that if checked that pulls the data and makes the send email function appear. that is showing an error.

Patch('TestingAPP-WeekendServiceReportList', Gallery3_1.Selected, {EmailedExecReport:true})

AliDg2_1-1618461448478.png

it is doing the same thing for the save button for the state report field

Basically any patch function where it saves the data back to sharepoint is now coming up with an error button.

AliDg2_2-1618461512254.png

2nd) the copy function that i have built in which has a pop up screen copies the information into a text field then saves one edited in the final report field. The save function for that isnt working either

AliDg2_3-1618461546191.png

Ultimately this app i want it to do the following

User fills in data

manager sees data based on week / timeslot

can edit user's data (without the user seeing end result of data change)

it saves the info into a seperate field

if the manager wants to further edit they edit from the edit button directly on the section reserved for them.

once all data is entered.

manager emails report to themselves in the order specified for them to then forward on to their manager.

does all that make sense?

hope it does

Ps thanks for assisting with this.

@AliDg2 ,

Firstly, Value should have been Campus (I just forgot to change it when modifying my earlier code) and I have fixed the post to this, however I think it is now Title. It is just the field name in the gallery you want to display on the email.
For the Patch, it is erroring because you now have an extra column (for the sort) not matching the List, however easily fixed.

Patch(
   'TestingAPP-WeekendServiceReportList',
   {ID:Gallery3_1.Selected.ID},
   {EmailedExecReport:true}
)

The second Patch is for the same reason - just fix as above.

Are you in Qld? This might have been easier on a quick Teams call.

thanks it still isnt pulling the email based on the sort collection. only pulling via the order the gallery has been sent through on.

I think i need to give this a rest for a day. Will jump back in it tomorrow once i have had a break.

I am currently in the NT so not in qld unfortunetly

@AliDg2 ,

I think I remember you mentioning NT before - my comment was more about timezone.

Try putting the Sort in the gallery - also you have two fields called Title (you cannot have Title=Title) - so your Collection

ClearCollect(
    LocationSort,
    {Order: "a", Campus: "BNE Central"},
    {Order: "b", Campus: "BNE Downtown"},
    {Order: "c", Campus: "GRT Springfield"},
    {Order: "d", Campus: "GC Central"},
    {Order: "e", Campus: "GC North"},
    {Order: "f", Campus: "SC North"},
    {Order: "g", Campus: "SC South"},
    {Order: "h", Campus: "DRW Malak / Palmerston"}
)

then the gallery

Sort(
   Filter(
      AddColumns(
         'TestingAPP-WeekendServiceReportList',
         "Sort_Order",
         Lookup(
            LocationSort,
            Campus=Title
         ).Order
      ),
      (
         DdDate.Selected.Result = "All" ||
         ServiceDate = DdDate.Selected.Result
      ) &&
      (
         DDServiceBlock.Selected.Result = "All",
         ServiceBlockAmPM.Value = DDServiceBlock.Selected.Result
      ),
      Sort_Order
   )
)

then the email

Office365Outlook.SendEmailV2(
   User().Email,
   "State Lead Service Report for" & " " &
   DDServiceBlock.Selected.Result & " " & ddDate.Selected.Result,
   Concat(
      Gallery3.AllItems,
      "<p><br><b>" & Title & "-" & BsubmitBy.Text &
      "</b><br><br>" & GFinalRepor_1.Text & "</p>" & "</b><br>"
    )
);

@AliDg2 ,

What is the error and what does it refer to. Also where did you put this code? I also assume you have initiated the LocationSort collection.

figured it out there was meant to be a )before a , at one of the sections. However it isn't pulling data.

There is data that is sitting on the sharepoint list it just isnt showing in the gallery

i have the locationsort collection set at on start of app.

@AliDg2 ,

The issue is then one of your Filters - what type of field is ServiceDate and what are the Items of the drop-down ddDate?
