New App-Struggling

Hi Anyone,

Fairly new to Power Apps but can see the potential if I can refine my builds.

My first app basically tracks the servicing and condition of rodent bait stations (I know, interesting right ! but very useful).

The end goal is to have a screen of buttons each of which represents one of the bait stations. When the user selects the button the information relating to that station will come up in the edit screen with as much pre-filled information as possible ie date/time = now, Whether it is an "Internal/External" station, the "Location" (this one is actually drawn from another sharepoint list). 

I have built the sharepoint list and linked the base app in and created a deliberately simply new canvas which I am happy with, further I used a flow to "Prefill" as much data as possible. This runs on selecting the button for a particular station. It does mean I need a flow per station and this may not have been the best design, however it does seem to work.

I thought I had then coded the app to go to the "Last" record once it had run the flow and open that newly created  record in the "Edit" screen for the user to "Edit" should some of the prefilled information not be correct. Then using the "Tick" or "Cross" update the record and everyone is happy.

I had done this by using "Last(Bait_Stations)" in the "Item" field in the "Edit Form".

However it does not return the record created by the flow, it returns the record prior. For example;

I check my list in sharepoint and it is upto record ID 100, I select the button in Power Apps and I check my list in Sharepoint and record ID 101 has been created, this makes me believe my flow is working correctly, I return to power apps and the "Edit Form" is open however is showing record 100 when record 101 is the "Last" record and the one I wish to edit ???

I also tried using "Last(Bait_Stations)" as follows "Bait_Station_2.Run();Navigate(EditScreen1, ScreenTransition.None,Last(Bait_Stations) )" as part of the button command when selected, however this didn't seem to work either as seemed to be overridden by what was in the "Item" field on the "Edit" form.

Anyone suggestions on anyway to make this whole task, even if it includes as complete redesign, would be greatly appreciated.

It sounds like you're running a flow to get a record. But rather than returning the last record which you expect, it returns the one prior.

(Side question: If you are getting a record from SharePoint, I am thinking you may not need to run a flow here. Can you describe why you're running a flow instead of doing the actions in Power Apps itself?)

In every SharePoint list, there is an ID column. If you sort the list descending order by ID and get the first one in that order, that would effectively get you the last record:

Record:
First(Sort(Bait_Stations,ID,Descending))

You can drill down with a . and the field of your choice:

Field:
First(Sort(Bait_Stations,ID,Descending)).field_name

Though to ensure you have the latest data, I suggest refreshing the data source before running this in one of the buttons:

Refresh(Bait_Stations);
Set(varLastRecord,First(Sort(Bait_Stations,ID,Descending)))

This means, "Refresh the Bait_Stations list. Then set a variable called varLastRecord to hold the last record from the Bait_Stations list."

Could you please share a bit more about your scenario?

Do you want to diaplay the latest created item from your SP list within your PowerApps app Edit form?

Based on the issue that you mentioned, I think this issue is related to that the SP List data source in your app is not refreshed/updated in real time.

As an alternative solution, I think the Refresh function could achieve your needs. Please consider take a try to modify the formula within your Button as below:

Bait_Station_2.Run();
Refresh(Bait_Stations); // Add this formula to refresh your SP list data source in your app after calling your flow
Navigate(EditScreen1, ScreenTransition.None)

Then set the Item property of the Edit form to following:

Last(Bait_Stations)

or

First(SortByColumns(Bait_Stations, "ID", Descending))

Please consider take a try with above solution, check if the issue is solved.
