Why does my Flow continue to fail? Stopping at 100 Records despite increasing size in Get Items property?

Hello, I was hoping the community could help me some a frustrating issue.

 

I have a SharePoint list of items that have a "Days Past Due Date" column, which is a calculated column. When the number in that column is 7 (for 7 days), I wanted to setup a Flow to send an email to a leader. I setup the Flow successfully, however, every attempt, the Flow stops at 100 records after Get Items. I have about 450 items in the List. I tried to increase the maximum number of records in the settings of the Get Items action, but that did not do anything.

Well, the item Target Resolve date of 8/21/2020 falls outside the condition in the Filter Query field!

As your calculated column shows that it should have been included, then you need to correct the Filter Query field, so that instead of using the -7 and -6, like this:
... TargetResolve ge 'startOfDay(addDays(utcnow(),-6))' and TargetResolve lt 'startOfDay(addDays(utcnow(),-5))'

Note that I also corrected the first operator from "gt" to "ge" (greater or equal) - my fault 🙂

 

Out of curiosity, what is the value of TodayDate that you use in the calculated column formula?

Your flow is not failing, the condition is simply going into the false branch. The grey X means it was skipped. The expression result can be found inside the condition. In your screenshot it shows: false

Like  @Jcook said most of your items don't match your condition.

You can always set the Top Count to 5000 so you are sure that all the items are being queried by the Get Items action.

Normally in an Apply to each only 100 items are being processed in one go.

The thing is, I do have 2 records in my list of 450 total records that should satisfy that condition. But the apply to each is only checking 100 records. I don't know which records those are, but it's not checking all 450, and thus probably not reaching the 2 records that DO satisfy the condition and should execute the email branch. Please assist.

Instead of looping through all your items, add a Filter action to filter out only those you need. The output from the Filter action are the items that has a Day Past Due Date value of 7.

Then you take it from there 🙂 No need for the Condition!

Just like @JohnAageAnderse suggested you can set a Filter indeed and if you still have more than 100 items to loop through, you could always make an array with the results and use your variable in the Apply to each instead.

Where would I filter the data at? The SharePoint Get Items action, right?

Correct!

If you open the advanced options you get the option Filter Query, this query needs to be in odata format, so something like this:

<SharePointColumnName> eq '<DynamicContent/Expressions/String/Number/etc>' don't forget the single quotes!

Thanks @Tom_Slosse . I have some items in the list that should trigger the email tomorrow at 8 AM. I will wait and test it out to see if the email is sent, then I will mark your solution as the answer! Thanks in advance!

The column is indeed a calculated column in my list, taking the difference between the Due Date and my TodayDate column.

 

Any workaround?

Unfortunately calculated and lookups can't be used in Filter Queries.

The next thing you could try is using a Filter Array action after your Get items action and then try the filtering.

So the value is the value of the Get items and then you can put in a condition just like in the Filter Query.

I just added that action. I have an item that should be triggered tomorrow as it is at 6 days today. I will let you know if the email gets triggered tomorrow. Thanks again, I'll keep you posted.

Did you check in your list if there are any items that have a days past equal to 7?

Because if there aren't any items your body will indeed be empty like it is now.

 

The Flow is working fine, just be sure that there are items that meet the condition.

I suggest you make some items that meet the conditions so you can test more easily.

What is the data type of your calculated column? Is it a "Single line of text", a "Number", a "Currency", a "Date and time", or a "Yes/No" data type?

It is a Number type that is being returned in my calculated column.

Super User of the Month | Ahmed Salih

We're thrilled to announce that Ahmed Salih is our Super User of the Month for April 2024. Ahmed has been one of our most active Super Users this year--in fact, he kicked off the year in our Community with this great video reminder of why being a Super User has been so important to him!   Ahmed is the Senior Power Platform Architect at Saint Jude's Children's Research Hospital in Memphis.
