"Remind for follow up on important emails sent, with no response" not triggering from Office 365 Outlook

Hi All,

 

I'm having trouble with the "Remind for follow up on important emails sent, with no response" workflow.  It works when I tested the flow using "data from Office 365", but it does not work whenever I send a high priority email from the Office 365 Outlook account ( I tested it by sending high priority emails to my colleague).    Does anyone have suggestions on how I can get this template to work properly?  See images below.  Any guidance would be appreciated!

Hi @jporter ,

 

Why are you has two trigger in the flow?

One flow could only has one trigger, the trigger when a send an emails wouldn't work, you should only create a flow with trigger when a new email arrives, and when a new email arrives, the flow would run.

Thank you for your response.  I used the public template (see link below) for this workflow and it automatically generated the triggers you saw.

 

When I send an email marked as high importance, I want to get a prompt response. However, sometimes my co-workers may not respond quickly. This flow should remind me X hours after I send an email marked as High Importance, if, and only if, nobody responds to it.

 

I'd like to receive an email notification only when my coworker has not responded to a high importance email I sent, after a certain period of time.  I hope this provides clarity to my goal for this workflow.

I couldn't create connection to the office 365 Outlook connector, so I can't open the template that you provided.

And I'm afraid that your requirement couldn't be achieved in Microsoft flow currently since there is no any function could check if an email has been replied.

Thank you for trying!  I was able to configure the work flow to work appropriately (see my solution in the post above).  For future reference, more than one trigger can be used in a work flow and using a "condition" action with parameters will allow you to check for an email response.  It took a lot of trial and error, but I got it to work!  The next improvement to my work flow will be filtering out 'Automatic reply' responses.

Hello @jporter, I'm trying to get this flow working and came across your solution; however, even though I'm replicating your values I'm getting this error:

 

ActionConditionFailed. The execution of template action 'Condition' is skipped: the 'runAfter' condition for action 'When_a_new_email_arrives' is not satisfied. Expected status values 'Succeeded' and actual value 'TimedOut'.

 

Did you come across this error by any chance? Also, would you mind sharing the settings you had on each step of the flow?

I have tried using the solution as presented and get this error:

The execution of template action 'Apply_to_each_2' failed: the result of the evaluation of 'foreach' expression '@body('When_a_new_email_arrives')?['value']' is of type 'Null'. The result must be a valid array.

To change the emails from Important to ANY: Under "When I send a High importance email" press show advanced options, the from the drop down press ANY.

To change period of occurrence: Under "When a new email arrives" press the three dots on the right, then select Settings. In the Timeout section enter P2D, to change from 4 hours to two days.

i have tried to change the time to PT5D but i think the flow just stopped at "when a new email arrives" and never goes to the next step of "condition" and action.

For anyone having issues with the workflow I was finally able to fix mine and make it simpler. The big change is that I removed the condition for yes and no as it was not necessary. Below are screenshots of my current flow and I'll go over any issues I had and how I fixed them. I still used the template as a base. 

 

 

Overview of new work flow:

When I send a High importance email:

 

I added a subject filter so that only high importance emails with that word are selected for the flow

When a new email arrives:

 

I changed the length of timeout to 7 days. The duration is in ISO 8601 format. An explanation of the format can be found on Wikipedia, under the Durations section. For example, "P3Y6M4DT12H30M5S" represents a duration of "three years, six months, four days, twelve hours, thirty minutes, and five seconds". P2W is two weeks, P2D is two days, PT4H is four hours.

 

I had issues with entering the format incorrectly so this could be what is happening if the duration isn't working like you think it should.

When typing and entering dynamic content, DO NOT select any content under the section "when a new email arrives."

 

This is where my biggest issues were coming from. There is no data for Power Automated to pull from under the "when a new email arrives" section because the flow is running due to no email arriving. It may sound simple, but it took me too long to realize I needed to scroll farther, to the "When I send a High importance email" section.

ONE OF THE MOST IMPORTANT STEPS:

 

Make sure "has timed out" is selected. Once the time duration of the flow, set previously, has past then the action "send me an email notification" will run. My flow runs great without having "has failed" as another selection, so I did not select it like jporter did.

Thanks this is very helpful. Do you know how can we create an automated flow for follow up email for the recipient(s) that did not respond after a timeout. I tried to do it by adding "Email notification" flow to what you have but it does not have the condition option as to which recipients(that did not respond) need to be followed up.

I have not found a way to do it through Power Automate because this flow marks one response as a completed flow and will stop tracking. So it doesn't check who out of everyone you emailed responded or not. 

 

There is this article that goes over setting custom flags for recipients along with using VBA code. I would play around with that and the custom flags. You're able to remind people to reply, like below.

Hey my issue is i get the notification even if the email has been replied too, im trying to get the notification only if the email i sent hasn't had a reply

hey this is great, my issue is i only want a notification if the email hasn't been replied too, and no notification if it has been replied too! Any ideas, hope this makes sense!

Tuesday Tip: Subscriptions & Notifications

TUESDAY TIPS are our way of communicating helpful things we've learned or shared that have helped members of the Community. Whether you're just getting started or you're a seasoned pro, Tuesday Tips will help you know where to go, what to look for, and navigate your way through the ever-growing--and ever-changing--world of the Power Platform Community! We cover basics about the Community, provide a few "insider tips" to make your experience even better, and share best practices gleaned from our most active community members and Super Users.   With so many new Community members joining us each week, we'll also review a few of our "best practices" so you know just "how" the Community works, so make sure to watch the News & Announcements each week for the latest and greatest Tuesday Tips!   This Week: All About Subscriptions & Notifications We don't want you to a miss a thing in the Community! The best way to make sure you know what's going on in the News & Announcements, to blogs you follow, or forums and galleries you're interested in is to subscribe! These subscriptions ensure you receive automated messages about the most recent posts and replies. Even better, there are multiple ways you can subscribe to content and boards in the community! (Please note: if you have created an AAD (Azure Active Directory) account you won't be able to receive e-mail notifications.)   Subscribing to a Category  When you're looking at the entire category, select from the Options drop down and choose Subscribe.     You can then choose to Subscribe to all of the boards or select only the boards you want to receive notifications. When you're satisfied with your choices, click Save.     Subscribing to a Topic You can also subscribe to a single topic by clicking Subscribe from the Options drop down menu, while you are viewing the topic or in the General board overview, respectively.     Subscribing to a Label Find the labels at the bottom left of a post.From a particular post with a label, click on the label to filter by that label. This opens a window containing a list of posts with the label you have selected. Click Subscribe.     Note: You can only subscribe to a label at the board level. If you subscribe to a label named 'Copilot' at board #1, it will not automatically subscribe you to an identically named label at board #2. You will have to subscribe twice, once at each board.   Bookmarks Just like you can subscribe to topics and categories, you can also bookmark topics and boards from the same menus! Simply go to the Topic Options drop down menu to bookmark a topic or the Options drop down to bookmark a board. The difference between subscribing and bookmarking is that subscriptions provide you with notifications, whereas bookmarks provide you a static way of easily accessing your favorite boards from the My subscriptions area.   Managing & Viewing Your Subscriptions & Bookmarks To manage your subscriptions, click on your avatar and select My subscriptions from the drop-down menu.     From the Subscriptions & Notifications tab, you can manage your subscriptions, including your e-mail subscription options, your bookmarks, your notification settings, and your email notification format.     You can see a list of all your subscriptions and bookmarks and choose which ones to delete, either individually or in bulk, by checking multiple boxes.     A Note on Following Friends on Mobile Adding someone as a friend or selecting Follow in the mobile view does not allow you to subscribe to their activity feed. You will merely be able to see your friends’ biography, other personal information, or online status, and send messages more quickly by choosing who to send the message to from a list, as opposed to having to search by username.
